Who we are
This website is operated by UniFi Advisory Limited ("we", "us", "our"), a company registered in England and Wales under company number 16085837. Our registered office is 5 Tewin Court, Welwyn Garden City, England, AL7 1AU.

Professional regulation
UniFi Advisory Limited is registered with the Institute of Chartered Accountants in England and Wales (ICAEW) as a firm of ICAEW Chartered Accountants, registered firm number C011010020. George Nicholson holds the professional title Chartered Accountant (ACA), granted by ICAEW in the United Kingdom. We are subject to ICAEW's Code of Ethics and regulations, which you can read at icaew.com/regulation.
What personal data we collect
We collect personal data directly from you when you:
- fill in our contact/enquiry form;
- request one of our free white papers;
- book a call using our online booking calendar (Calendly); or
- email, call or message us on WhatsApp.
Depending on how you get in touch, this may include your name, company name, email address, phone number, employee count and revenue band (given voluntarily to help us scope advice), the services you're interested in, and anything else you choose to tell us.
Important: our contact form does not send your details to this website or to any server we run. When you click "Send enquiry", your device opens your own email application with a pre-filled message addressed to George@unifiadvisory.co.uk. Whether to actually send it is up to you, and the message travels directly from your email account to ours — this website never receives, transmits or stores it.
Free white paper downloads
Our white papers are free. To download one, we ask for your name, email address and phone number, and we record which white papers you chose. When you press "Get my white paper", those details are sent through Web3Forms, a form-forwarding service, to George's email inbox so he knows who has downloaded what. Your download links then appear straight away.
There is also an optional, unticked box. We will only contact you about how UniFi Advisory could help your business if you tick it, and you can ask us to stop at any time by emailing George@unifiadvisory.co.uk. If you leave it unticked, we will only use your details to keep a record of the download and to reply if you get in touch with us.
While the page is open, the form remembers what you typed so you don't have to enter it again for another white paper. Nothing is saved on your device, and it is forgotten when you leave or reload the page.
Why we use your information
We use your information to:
- respond to your enquiry and provide the accountancy or tax information you asked for (legitimate interests, and to take steps at your request before entering into a contract);
- give you the free white papers you request and let George know which ones you downloaded (legitimate interests: understanding who uses our guidance and answering any follow-up questions you raise);
- contact you about how we could help your business, but only if you tick the optional box on the white paper form (consent, which you can withdraw at any time);
- arrange and hold a call you've booked via Calendly (to take steps at your request before entering into a contract, and your consent to load the booking calendar itself — see Cookies below); and
- once you become a client, keep the records our professional and legal obligations require (legal obligation) — for example, retaining accounting and tax records for the periods set by HMRC and our professional body, ICAEW.
We do not use your information for marketing you haven't asked for, and we do not sell or rent your personal data to anyone.
Identity checks for Companies House and new clients
If you ask us to verify your identity for Companies House, we collect your full name, date of birth, home address, address history for the last 12 months, email address and copies of the identity documents we ask for. We use them to check your identity to the Companies House identity verification standard and to tell Companies House you are verified (to provide the service you asked for, and our legal obligations as an Authorised Corporate Service Provider).
Before we act for a new client, the Money Laundering Regulations 2017 require us to check who you are. We collect the identity details and documents we need for this (legal obligation).
Who we share your information with
- Web3Forms (web3forms.com) — when you request a white paper, the details you enter are passed through this form-forwarding service to our email inbox. Web3Forms is run from India and stores data with Amazon Web Services, so your details are transferred outside the UK. That transfer is covered by the Standard Contractual Clauses with the UK International Data Transfer Addendum, which form part of Web3Forms' data processing agreement. Web3Forms also receives your IP address and the page you downloaded from, may pass your IP address and email address to its spam-checking provider (CleanTalk), and keeps form submissions for up to three years unless we delete them sooner. If you'd rather they weren't, email or call George instead and he'll send you the white paper directly;
- WhatsApp (provided by WhatsApp Ireland Limited, part of Meta) — if you choose to message us on WhatsApp, your messages and phone number are handled by WhatsApp under its own privacy policy. The WhatsApp button on this website is a simple link: the site doesn't load any WhatsApp code or set any WhatsApp cookies;
- Calendly, LLC — if you choose to book a call, the details you enter (name, email, chosen time) are processed directly on Calendly's platform under Calendly's own privacy policy. Calendly is based in the United States and is certified under the UK Extension to the EU-U.S. Data Privacy Framework, which the UK recognises as giving adequate protection, so your booking details and the cookies its calendar sets involve a transfer to the US on that basis;
- our web host (IONOS) — like any web server, it may log IP addresses automatically as a normal part of delivering web pages, but we don't use these logs for tracking or analytics. This website's fonts and scripts are served from our own web space, so simply visiting a page doesn't send your details to any other company;
- Companies House — when we verify your identity, we send your name, date of birth, home address, email address, and which documents we checked and when. We do not send copies of your documents; and
- HMRC, ICAEW, our anti-money laundering supervisory body or other regulators, where we're legally required to.
We don't otherwise share your information with third parties.
Client reviews on this website
The reviews on this website are ones our clients chose to post publicly on Google. We show them with the reviewer's name as it appears on Google. If you wrote one of these reviews and would like it removed from this website, or shown without your surname, email George@unifiadvisory.co.uk and we'll update it.
How long we keep your information
- Enquiry form messages: as explained above, these aren't stored by our website at all — retention is governed by your own and our email provider's normal mailbox policies.
- White paper requests: kept in our email inbox for up to 2 years, or longer if you become a client, then deleted. Web3Forms' own copy is deleted within three years.
- Calendly bookings: kept for as long as needed to arrange and follow up your call, in line with Calendly's own retention settings.
- Client records: where a client relationship is formed, we retain accounting and tax-related records for the period required by HMRC and ICAEW (typically at least 6 years), after which they're securely destroyed.
- Companies House identity checks: our records, including document copies, evidence of the checks and any failed attempts, are kept for 7 years, as Companies House requires.
- Anti-money laundering checks on clients: kept for the period the Money Laundering Regulations 2017 require.
Your rights
Under UK GDPR, you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct inaccurate data;
- ask us to delete your data, where applicable;
- object to, or ask us to restrict, how we use your data;
- ask for your data in a portable format; and
- withdraw consent at any time where we're relying on it — for example, by choosing "Necessary only" on the cookie banner.
